CoreStaff are seeking contract administrators to assist the Project Managers with the administrative functions of projects in accordance with company management systems, Client requirements, Contractual requirements and specifications and Associated documentation.

Core Responsibilities:
1. Project Administration
- Prepare and manage subcontractor tender packages, negotiate contracts, and finalise agreements.
- - Maintain procurement schedules, labour allocation, cost codes, and payment schedules.
- Assess and process subcontractor and supplier claims, ensuring compliance with contract terms.
- Prepare and submit head contract progress claims, variations, extensions of time (EOTs), and RFIs.
- Maintain accurate registers for claims, variations, EOTs, and RFIs.
- Administer security, final accounts, and project close-out documentation.
- Coordinate shop drawings, defects lists, manuals, warranties, and as-built documentation.
- Liaise with authorities for permits and approvals.
- Analyse budgets, monitor project costs, and maintain positive cash flow.
- Prepare monthly cost reports and detailed project reviews.
- Identify and manage financial risks, reporting to Project Manager.
- Apply OHSE, environmental, and quality management systems to all project scopes.
- Register subcontractors in compliance platforms and maintain legislative requirements.
- Support site management with compliance oversight when required.
- Foster strong relationships with clients, consultants, subcontractors, and project teams.
- Facilitate training and mentoring for junior staff and trainees.
- Communicate openly, resolve disputes professionally, and support a collaborative team culture.
- Contribute to process improvements and uphold high ethical standards.
- Ensure confidentiality, avoid conflicts of interest, and comply with laws and company policies.
What We're Looking For:
- Prior experience as a Contracts Administrator in the commercial sector
- Demonstrated experience working on projects between $1 million - $50 million (ideally builder side)
- Strong skills in contract administration, cost tracking, and monthly reporting.
- Prior experience working for a Tier 2 or 3 builder within Australia
- Strong administration experience
