We are seeking an experienced, highly organised, and proactive Executive Assistant to provide high-level support to the Managing Director & CEO.
  
About the Role
  
As the Executive Assistant, you'll play a key role in ensuring the smooth day-to-day operation of the Managing Director & CEO's office. You'll be responsible for managing priorities, coordinating executive activities, and acting as a trusted point of contact for internal and external stakeholders.
  
Key Responsibilities
  
  • Provide high-level administrative and operational support to the Managing Director & CEO.
  • Manage calendars, meetings, communications, and executive priorities.
  • Prepare agendas, meeting minutes, reports, presentations, and correspondence.
  • Liaise confidently with internal teams, Board members, government representatives, and external partners.
  • Coordinate corporate events, sponsorships, and business functions, including logistics and financial administration.
  • Arrange domestic and international travel, including itineraries, accommodation, and expense management.
  • Support legal and compliance administration, including licences, certifications, contracts, and documentation.
  • Maintain organised filing systems and ensure accurate document control and record management.
  • Assist with financial administration, including invoice processing, expense reconciliation, and reporting.
  • Handle confidential business and personal matters with professionalism and discretion.
  • Coordinate personal appointments and commitments for the Managing Director & CEO alongside business priorities.
  • Provide ad hoc executive and administrative support across the business as required.
  
About You
  
To be successful in this role, you'll have previous experience supporting senior executives and be known for your exceptional organisation, communication, and problem-solving skills. You'll be proactive, adaptable, and comfortable managing competing priorities in a fast-paced environment.
  
Skills & Experience
  
  • Proven experience as an Executive Assistant or in a senior administrative role supporting executives.
  • Excellent organisational and time management skills, with the ability to prioritise multiple tasks.
  • Strong written and verbal communication skills, with confidence engaging senior stakeholders, government bodies, and business partners.
  • High level of professionalism, discretion, and confidentiality.
  • Advanced proficiency in Microsoft 365 (Word, Excel, PowerPoint, Outlook, and SharePoint).
  • Strong attention to detail and a commitment to producing accurate, high-quality work.
  • Sound judgement and the confidence to ask the right questions, seek clarity, and solve problems proactively.
  • Ability to work independently while contributing positively to a collaborative team.
  • Experience coordinating executive travel, events, and business logistics.
